OSM Thome is looking for a structured and service‑mindedHR Assistant to join our shore HR team on a temporary basis. This role is a maternity leave cover and offers an excellent opportunity to gain hands‑on experience within HR operations in a global maritime organization.
As an HR Assistant for our shore-based staff, you will be supporting key HR functions, including recruitment, onboarding, employee relations, training coordination, and administration. You will work closely with managers and employees across departments, ensuring smooth processes and a positive employee experience. The position is suitable for those who want varied work tasks, a fast pace of work, and a workplace with pleasant colleagues in the southern town of Arendal.

Support the end-to-end hiring process, from job posting to new joiners’ onboarding

Supply job advertisements and explore innovative channels to attract qualified candidates

Maintain and monitor pre-employment documentation and requirements

Maintain communication with candidates to answer questions, coordinate and schedule selection interviews and meetings

Support with preparation of employment contracts, offer letters, and related documentation

Maintain and monitor all HR systems throughout the employee life-cycle.

Track employee movements and ensure timely updates to employment status and coordination of relevant benefits.

Provide support to employees and respond to HR-related inquiries in a timely and professional manner

Support full compliance with the resignation process and related procedures

Provide guidance to resigning employees and conduct exit interviews as needed

Ensure accurate salary, claims and benefits payments, including proper calculation and timely reporting

Maintain proper archiving of HR-related documentation

Closely follow and update a Training Progress Tracker to monitor completion of Training Matrix for new joiners and refresher courses for all employees

Assist in organizing internal training courses, booking meeting rooms, and communication to employees

Work closely with the relevant business units to develop and evaluate learning initiatives and to ensure completion of the learning curriculum

Reception reliever and admin back-up

Support the planning, coordination, and monitoring of employee engagement events and activities

Inform new joining employees of well-being and benefits opportunities

Relevant education in Human Resources, administration or a related field however, relevant work experience may compensate

Experience working in the Human Resources department, ideally in an international organization

Strong analytical skills with a high level of attention to detail
Flexible and adaptable, capable of handling the diverse responsibilities of a generalist role

Excellent verbal and written communication skills in Norwegian and English, with the ability to interact professionally via phone, email, and in person.
