About the role

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our operations across Norway, Sweden, and Finland , with Portugal expected to be included in the near future.

This role is central to ensuring efficient project coordination by combining strong administrative skills with financial oversight and process optimization. You will work closely with the Finance and Purchasing departments while supporting project teams across multiple countries.

Key Responsibilities: Administrative Coordination
  • Booking meetings, appointments, and accommodations

  • Arranging and purchasing flight tickets and coordinating travel logistics

  • Maintaining structured and well-organized filing systems (Excel and internal systems)

  • Collecting documentation from subcontractors and uploading it to the appropriate folders

  • Cooperating closely with the Finance and Purchasing departments

Project & Financial Support
  • Supporting financial reporting processes

  • Creating Purchase Orders (POs) and collecting required documentation

  • Ensuring project documentation is complete and properly organized

Process Improvement
  • Improving administrative and financial workflows for greater efficiency

  • Developing and optimizing Excel sheets for tracking, reporting, and analysis

  • Supporting the implementation of structured internal processes

Qualifications
  • Essential: Experience in administrative coordination, project administration, or similar roles

  • Experience from the Construction and project calculations is a big advantage

  • Essential: Strong Excel skills and general Microsoft skills and ability to work with structured data and documentation

  • Good understanding of financial administration and bookkeeping principles

Personal qualities
  • Highly organized and detail-oriented

  • Proactive with a structured approach to tasks

  • Able to manage multiple priorities simultaneously

  • Reliable and comfortable working in a dynamic environment

  • Strong communication and collaboration skills

Language requirements
  • English -- required excellent level written and spoken

  • Norwegian -- a strong advantage

Working hours

Monday -- Friday
08:00 -- 16:00
