The positionAs an Event Coordinator, you will play a key role in the administration and coordination of both regional and national external events for our Marketing department. The preferred location for this role is our Norway office, although we are open to candidates working in a hybrid model.
Your main accountabilities will be:
Provide and ensure timely and effective support and coordination of both regional and national external events-
Securing contract process and timely contract filing and documentation incl. speaker agreements, consultancy agreements, vendor agreements, collaboration agreements, creating PO’s, planning and tracking budgets, and ensuring that signing of contracts in COUPA and DocuSign is done within timelines.

Managing and securing timely and correct payments of speaker fees and travel costs to HCPs and payments of invoices from other vendors in connection with our events in ICE and enter account/MIP/cost centre numbers if relevant.

Creation and management of invitations and bookings to our regional and national customer events through Veeva.

Ensure correct distribution of invitations and bookings to events and meetings through external vendors like IQVIA.

Create content for event sites where HCPs sign up for events and coordinate logistics with travel agencies like AMEX.

Coordinate the national events, both planning and on-site, and be proactive in terms of keeping timelines and processes moving forward.

Create great customer event journeys including digital solutions supporting customer engagement and experience before, during, and after our meetings. Continuously evolve the customer journey based on feedback and customer insights.

Be the first point of contact with vendors like hotels and travel agencies.

Ensure, together with event/project owners, that everything is in place to execute successful meetings including ordering material for events and dividing and securing on-site tasks.

Secure continuous dialogue with event/project owners.

Ensure professional dialogue with HCPs before, during, and after our events, handling all enquiries related to the events and all logistical information.

Be a superuser in project management tools like CVENT/Lyyti to ensure a seamless customer journey, preserve personal information securely, while ensuring that internal stakeholders receive necessary information about customers.

Collaborate with ComEx before/after meetings, as well as MCE coordinator and Digital Engagement Specialist (HCP+ & RTE/BCE).

Handle administrative processes with uploading websites, speaker slides, and promotional material to LMI.

Conduct EFPIA follow-up and HCP Office reporting.

Be responsible for handling the affiliate digital mailbox together with the Sales and Marketing coordinators.

Archive complete files in physical archives, for example, printed promotional material related to events and invitations.
To be successful in this role, you have:

College degree (or equivalent) and relevant coordinator qualification & background.

Minimum of 3 years of administrative experience and planning and execution of both local, regional, and national events.

Team-oriented and service-minded with strong customer service skills.

Proficiency in Windows, MS Office (Word, Excel, and PowerPoint), and Outlook.

Good coordination and organizational skills, with good written and oral communication skills.

Proficiency in written and spoken English and Norwegian; web application skills are desirable.

Proven ability to work systematically and with high quality, handle many tasks, and work against deadlines, with a proactive attitude.
