The British Embassy Oslo is looking for a Residence Manager and Corporate Officer.
Main purpose of the job:Manage the Ambassador's Residence as a premier diplomatic venue and ensure the delivery of high-quality corporate and support services for the British Embassy in Oslo. The role is responsible for residence operations, official hospitality, collaboration with Estates Manager to facilitate property and facilities supervision, staff supervision, and compliance activities, enabling the Embassy to achieve its strategic and diplomatic objectives efficiently and professionally.
Roles and Responsibilities:Residence Manager:- Oversee the day-to-day operations of the British Ambassador’s Residence and provide line management, direction, and support for the Residence staff (Chef and Housekeeper).
- Provide effective and supportive management of the Residence, including line management of Residence staff (Chef and housekeeper).
- Ensure professional coordination and delivery of events at the Residence, maintaining high standards of accommodation and hospitality.
- Oversee procurement activities related to the Residence, ensuring coordination between Residence staff and the Corporate Services team.
- Support and develop Residence staff through regular line management and guidance.
- Maintain an accurate inventory of government-owned valuables (e.g., Government Art Collection, cutlery).
- Provide administrative and operational support to the Estates Manager to ensure the effective management, maintenance, and compliance of the Embassy estate.
- Assist with implementing health and safety requirements, conducting routine property inspections, coordinating maintenance activities, and maintaining accurate estate records and documentation.
- Liaise with contractors and service providers, and assist with procurement activities. Contribute to the planning and delivery of maintenance projects through risk assessments, contract preparation, and adherence to FCDO policies and procedures, ensuring the embassy estate remains safe, functional, and fit for purpose.
- Fluency in English (minimum of C1 level according to CEFR*).
- Excellent interpersonal and communication skills, with a strong service delivery focus. Demonstrates courtesy and consideration in dealing with stakeholders across all levels.
- Previous relevant experience in a similar estates, facilities or administrative role, ideally for at least three (3) years.
- Exceptional planning, organisational skills and keen attention to detail. Ability to prioritise own workload and meet deadlines without compromising the quality of the work.
- Strong problem solving and analytical skills and resourcefulness in solving problems. Ability to anticipate and take initiative with work task, and to use information and experience to solve task effectively. Able to work independently and react calmly to situations that may arise, without constant supervision.
- Proven ability to engage at all levels internally and with external contacts, and collaborate effectively across teams.
- Strong IT/ computer skills and in using MS Office applications (Outlook, Word, Excel, PowerPoint, Teams
- Experience of events coordination/support
- Experience in finance/ budget management and processing payments
- Experience of managing staff or leading team
- Fluency in Norwegian (minimum of C1 level according to CEFR*).
- Bachelor degree
- Experience in contracts and/or project management.
- Experience working in an international organisation or large company in a similar capacity
