The Payroll Specialist is responsible for managing and processing payroll for employees in Norway and supporting input to payroll in the other Nordic countries. This role involves ensuring compliance with labor laws, tax regulations and maintaining accurate payroll records. The Payroll Specialist will work in close cooperation with an outsourced payroll provider and the Finance department to ensure seamless payroll operations. The Payroll Specialist will also participate in HR-related projects and initiatives as needed.
Key Responsibilities- Payroll Processing: Administer payroll processing for employees in Norway, ensuring accuracy and compliance with Norwegian legislation. Support input to payroll in all Nordic countries.
- Outsourced Provider Collaboration: Work closely with the outsourced payroll provider to ensure accurate and timely payroll processing, address any discrepancies, and implement improvements. This includes tight follow up on employee travel expense reports.
- Data Management: Maintain accurate payroll records and employee data in the payroll system.
- Compliance: Ensure the correct application of tax codes, deductions, and statutory contributions, including pension, social security, and insurances.
- Reporting: Prepare and submit payroll tax filings and reports, including tax returns, pension contributions, and annual summaries.
- Issue Resolution: Resolve payroll-related inquiries from employees in a timely and professional manner.
- Coordination: Coordinate with the HR team / Finance and IT on new hires, terminations, and other employee changes to ensure payroll accuracy.
- Stay Updated: Stay up-to-date with changes in Norwegian payroll laws, tax regulations, and collective bargaining agreements.
- HR Projects: Participate in HR-related projects and initiatives as required, contributing to the overall HR strategy and operations.
- Experience: Proven experience (minimum 4-5 years) in payroll administration within Norway, including comprehensive knowledge of Norwegian tax and labor laws.
- Software Proficiency: Strong understanding of Norwegian payroll systems, software and tools (experience with Visma, Tripletex, or similar systems preferred).
- Knowledge: Solid knowledge of pensions, benefits, and social security systems in Norway.
- Language Skills: Fluency in Norwegian (both written and spoken); strong proficiency in English necessary.
- Communication: Excellent communication skills and the ability to collaborate in an international environment.
- Collaboration: Ability to effectively collaborate with outsourced payroll providers to ensure seamless payroll operations.
- HR Skills: Ability to contribute to HR-related projects and initiatives, demonstrating a broad understanding of HR practices.
- An associate degree in human resources, business administration or affiliated area of experience
- A working knowledge of applicable government regulations with leading edge understanding and familiarity with MS Office package, especially the use of Excel
- Practical experience with hourly, salaried union and non-union payroll
- Dexterity in handling intricate projects all at the same time while functioning well under pressure to attain deadlines
- Strong project management, detailed-oriented, organizational and time management skills
- Comfortable working in a global and multi-cultural environment where collaboration, proactiveness & accountability is the management norm
- A degree in Accounting, Finance, or a related field is preferred
