VFX Coordinator Full Time - (in house)

Job Description:

The VFX Coordinator, working closely with the VFX Producer, VFX Supervisor, and wider production team, plays a key role in supporting the day-to-day execution of VFX work across TV and feature film projects. This role is central to maintaining organization, clear communication, and accurate tracking throughout the lifecycle of a show. The VFX Coordinator supports scheduling, workflow, and client-facing communication, ensuring the team is aligned with project goals, deadlines, and deliverables.

This is a full time, in Studio Position.

Key Responsibilities: Client Liaison / Project Support / Delivery

• Support the VFX Producer in ensuring all VFX show deliverables are clearly defined, scheduled, and delivered on time

• Assist with client communication to ensure work is progressing in line with contractual expectations

• Attend scheduled client calls, reviews, and internal meetings, and relay key information to the in-house team

• Track and support the management of change orders and rebids

• Assist in maintaining payment and milestone schedules

• Help manage client expectations through clear, timely communication

Tracking:

• Track turnovers, assets, shots, finals, marketing requests, and change orders

• Maintain accurate and up-to-date records in the production database

• Track editorial updates and ensure all changes are communicated to the relevant departments

Internal Communications:

• Facilitate clear communication between VFX Supervisors, Leads, Heads of Departments, Artists, and the Production team

• Proactively flag potential issues or risks to the VFX Producer to help resolve problems quickly

• Ensure information from reviews, dailies, and meetings is accurately communicated across the studio

Scheduling / Resource Support:

• Support the maintenance of project schedules based on the scope of VFX work

• Assist in ensuring scheduled targets are being met

• Help identify scheduling conflicts, issues, or delays and escalate as needed

• Support resource planning and forecasting alongside the VFX Producer, VFX Production Manager, and VFX Supervisor

Team Support & Motivation:

• Help keep the team motivated and focused throughout the project

• Communicate clearly and concisely across departments

You will:

• Support bidding and resource planning with the VFX Producer, VFX Supervisor, and HoDs

• Assist with forecasting and scheduling using studio tools

• Track assets, shots, and sequences to ensure deadlines are clearly communicated and understood

• Ensure the VFX team is aligned with goals and delivery targets

• Track turnovers, budgets, and contracted amounts in collaboration with the VFX Producer

• Maintain the production database to ensure accuracy and alignment with editorial and client changes

• Attend dailies, reviews, and production meetings to support efficient project flow

• Arrange and/or attend VFX Supervisor, Director, and client reviews as required

• Support efficient artist scheduling and workflow management

• Essential Skills:

• Strong communication skills with the ability to adapt tone and urgency appropriately

• Highly organized and detail-oriented with excellent time and task management

• Excellent written and verbal communication in English

• Ability to remain calm and focused in a fast-paced environment

• Proficient in production database tools (e.g. ShotGrid)

Requirements are:

• Experience as a VFX Coordinator or in a similar production role within a VFX facility

• Strong knowledge of production workflows and pipelines

• Familiarity with ShotGrid, Excel, and related production tools

• Proven ability to support artists, supervisors, and production teams

• Organized, methodical, and proactive approach to work

• Strong problem-solving skills

• Calm, personable, and professional under pressure

• Confident and enthusiastic in a busy studio environment

• Fluent in written and spoken English. Norwegian is a plus
